ProofReport Privacy Policy

Overview

ProofReport is a distinct product of DistroLanes LLC for field reports. This policy describes how the iPhone and Android apps handle information.

ProofReport does not require an online account or automatically sync reports to a ProofReport cloud service. We have not found an in-app advertising, analytics, or crash-reporting service.

Information in reports

A report may contain a title, customer name, job location, service date, work description, optional notes, Before and After photos, and photo captions. The optional Business Profile may contain a business name, phone number, email address, mailing address, and logo. Local Activity records report identifiers and titles, event types, and timestamps for creation, edits, deletion, and the PDF share or export flow.

These fields and images may identify people or businesses. The person creating or sharing a report is responsible for having an appropriate basis to use that information. Avoid including children’s personal information unless necessary and appropriately authorized.

Local storage and backups

Reports and photo bytes are stored locally in Hive: app Documents storage on iPhone and app-private storage on Android. Activity and the Business Profile logo use separate local Hive stores. Business Profile text, preferences, and older text-only drafts use platform preferences. ProofReport has no online account or app-operated cloud sync. On Android, system-managed Auto Backup may include app files and preferences when backup is enabled; availability and what is retained depend on Android, device, account, and backup settings.

Settings > Privacy & Data provides user-initiated JSON backup and restore. The backup can include reports, photos and captions, Activity, and Business Profile fields and logo. ProofReport does not encrypt the file. It is limited to 64 MB total, including no more than 46 MB of photo and logo data. Restore validates the archive before import, skips existing report IDs, deduplicates imported Activity events, and fills only blank Business Profile values. If a storage error interrupts the import, some records may already have been added; retrying the same file skips or deduplicates those records. This user-directed local file workflow is separate from platform-managed backups.

Photos, PDFs, and sharing

When you choose images through the platform picker on iPhone or Android, ProofReport imports the selected image bytes into the report. Photos may retain embedded metadata; ProofReport does not guarantee its removal. On iPhone, ProofReport uses the platform photo picker and declares photo-library access for this feature.

ProofReport generates PDFs locally. They may include report details, photographs, captions, and optional Business Profile branding. When you choose a print or share destination, that destination may keep or process its own copy. ProofReport cannot remove copies outside the app. An Activity entry for opening the share or export flow does not confirm delivery. iOS photo selection and PDF sharing may create temporary files whose cleanup timing is not guaranteed. On Android, PDF sharing writes a temporary file in the app's cache and grants the selected destination access; the destination may retain its own copy.

Retention and deletion

Local data remains until you edit or clear it, remove app data, or platform storage behavior affects it. iOS app Documents data may be included in device or iCloud backups depending on device and account settings. Android app data may be included in system-managed backups or device transfers when enabled. ProofReport does not provide app-operated cloud recovery. Keep a private copy of any unencrypted backup you create; exported PDFs cannot be restored as reports.

Deleting a report removes that report and its photos from the current report store. Related Activity entries remain and identify the report as deleted. Clearing Activity does not delete reports or photos; deleting a report does not clear the Business Profile. These actions do not necessarily remove temporary files, device backups, or previously exported and shared copies, and do not securely erase storage blocks.

Security and third parties

ProofReport does not encrypt Hive data at the app level. Device protections depend on platform settings and who can access the device. The app uses software components for storage, photo selection, PDF generation, and platform printing or sharing.
